Primary Function
The Epic Senior Project Manager is responsible for leading and managing complex projects related to the implementation and optimization of Epic systems. This role involves coordinating with various stakeholders, ensuring project milestones are met, and delivering high-quality outcomes within the defined scope, time, and budget. This role also provides an additional level of coordination and communication, overseeing the implementation for an application, application area, or specialized team such as training or research. The Epic Senior Project Manager will utilize their expertise in project management and Epic systems to drive successful project execution and support organizational goals.
Education and Experience Requirements
- Bachelor’s degree in Healthcare Administration, Information Technology, Business Administration, or a related field.
- Advanced degree (e.g., Master’s in Healthcare Administration, MBA, or related field) is preferred.
- PMP (Project Management Professional), CSM (Certified Scrum Master), or other relevant project management certifications preferred
- 7-10 years of experience in project management,
- Minimum 5 years of experience managing large scale Epic system or similar EHR implementations or optimizations across multiple modules (such as inpatient, ambulatory, revenue cycle etc.,)
- Epic certification(s) in relevant applications preferred (such as Cogito Project Manager, or specific module certifications in either in clinical, revenue cycle or technical areas).
- Experience with PMO methodologies, agile or waterfall project management frameworks
- Demonstrated experience leading cross-functional teams, working stakeholders at all levels (executives, clinicians, IT teams and vendors)
Principal Duties and Responsibilities
- Develop comprehensive project plans, including timelines, resource allocation, and risk management strategies. Maintain the scope, schedule, and quality of the project.
- Lead cross-functional project teams, providing direction, support, and mentorship. Set clear expectations and appropriately match team member skills to responsibilities.
- Collaborate with internal and external stakeholders, including Project Director, other project managers, IT teams, and vendors, to ensure alignment and effective communication.
- Serve as a liaison between organizational needs and Epic implementation staff, maintaining regular communication with Epic representatives
- Lead weekly project team meetings to discuss the status of deliverables, shared issues, end-user concerns, budget, and upcoming milestone
- Develop an understanding of operational needs and participate in training sessions working with end users to ensure the system meets the organization’s business needs in regards to the project deliverables
- Review the status of projects and issues on an ongoing basis with leadership, holding regular communications with team members to discuss deliverables, shared issues, and upcoming milestones.
- Organize resources within the organization and provide guidance on project issues, key success factors of the project, and lessons learned, reinforcing the importance of the project with executives and the project director.
- Serve as a support contact for their assigned area during issue troubleshooting, workflow design, system testing associated with Epic software.
- Own integrated efforts that span multiple applications such as BCA (Business Continuity Access), Cutover, Go-Live, and so on.
